Vacancy: BB2/BB3 - Protocol Assistant

Applications are invited for the above position in the Protocol Section of the Australian Embassy, Jakarta. The position is a full time position with an immediate commencement date required.

A salary between IDR 3,817,196 will be offered to the applicant if engaged at the BB2 level. A salary between IDR 6,640,697 will be offered to the applicant if engaged at the BB3 level. The level in which the successful application is engaged is dependent upon qualifications, relevant experience and demonstrated skill.

Duty Number:

    1. Assist/oversee the Protocol Assistants with the following;
      • Liaise with Indonesian Immigration for processing visas, stay permits, KITAS/DINAS, multi-entry and exit permits for expatriates employed by the Embassy.
      • Liaise with DEPLU and Indonesian Immigration for the issuance of ID-cards.
      • Assist expatriate staff obtain Indonesian drivers licences.
      • Liaise with DEPLU, Customs and other Indonesian government agencies to process the removal of the Embassy’s expatriate staff back to Australia and to assist the Embassy with importing/exporting official shipments.
      • Assist the Embassy and its expatriate staff with purchasing/selling vehicles for both office and personal use.
      • Assist the Embassy’s expatriate staff with obtaining visas to travel to other countries for both private and official travel.
    2. Assist/oversee the Embassy’s messengers.
    3. Maintain contact at appropriate levels with relevant representatives of Indonesian Government Departments and other relevant agencies for Protocol matters and to provide policy advice on changes in their regulations.
    4. Assist and backup the Protocol Affairs Manager with making arrangements for Ministerial visits, including VIP airport facilitation, immigration and customs clearance.
    5. Relieve the Protocol Affairs Manager during his absence.
    6. Provide back up support for the Consular team.
    7. Other administrative duties as required.

NOTE: Depending on experience the successful applicant may be engaged at either the BB2 or BB3 level.

Qualifications

Selection Criteria

    1. Demonstrated ability to work under pressure with minimum supervision. Excellent organisational skills and ability to meet specified deadlines.
    2. Excellent management skills, including demonstrated experience managing/overseeing staff and resources.
    3. An in-depth understanding of Indonesian Customs, Immigration and Protocol regulations.
    4. Ability to interpret and implement changes to procedures, policies and guidelines relating to Protocol services.
    5. High level communication and liaison skills. Excellent customer service focus and ability to work with clients and colleagues in an efficient and helpful manner.
    6. High level English and Indonesian language skills, both written and oral.
    7. Experience in the use of information technology, including Microsoft Word, Access, and Excel.
